Why?
Because you will spend most of the night DREADING the fact that no matter what you do…
your never-ending growing to do list is about to DROWN you.
It’s just a matter of time before you become BURNED OUT…
…and your BUSINESS CRASH AND BURNS.
You probably know these nights all too well, huh? No worries. I know how you feel!
Relax. Breathe. I got your back.
Let me introduce you to the quick and dirty guide to time management for solopreneurs.
1. STOP PLAYING SUPERHERO
As a solopreneur you’re probably wearing way too many hats.
You’re the CEO, the designer, the tech person, the customer support, the financial guy or gal, the product manager, the marketer and social media manager (yeah, I could go on for daaaays.)
If so, welcome to the club!
Don’t be proud of that. That’s actually the WORST club you can be a member of on the planet!
Why?
Because that is a surefire way to become overworked, overwhelmed and ultimately BURNED OUT.
It’s time to put your ego aside and realize that you CAN’T do everything by yourself.
You should actually stop playing ‘solopreneur superhero’ to cover all the different roles in your company.
That being said, you should…
2. FIND YOUR SUPERPOWER
I know what you might be thinking: “Hey Tor, you just told me to stop playing a superhero, and now you want me to find my superpower?”
Yep, you heard me right!
I want you to STOP playing superhero and identify your superpower so you can BECOME a superhero.
Bear with me for a moment.
You don’t see Captain America drive around in the Bat mobile.
Why?
Because using cool gadgets is not his expertise. Captain America knows his skills and leaves the gadgets to Batman.
You want to find the activities that YOU are really good at.
Ok, now you’re probably thinking…
‘But, I’m good at many things!’
Then pick a FEW activities that you are the BEST at. The areas where very few other will surpass you’re ninjaesque skills.
When you build your business around your strengths, you will have a much better chance at success.
Example, if our beloved Dre A.K.A The Crazy *ss Whopping Designer Extraordinaire (yeah, I just gave her that name)…
Let’sban together and just start calling Dre that!
You IN? Cool! High five *SLAP*
Okay, where was I?
Oh yeah…let’s take The Crazy *ss Whopping Designer Extraordinaire as an example.
She clearly has a ton of great skills. That being said, she has really MAD SKILLS when it comes to designing/branding, engaging with her audience and just letting her personality shine through.
So if she only focused on:
➽ Doing design work for clients
➽ Create new content
➽ Engage with her audience
➽ Create digital products to teach other people how to become as awesome as she
That would free up more time in her schedule?
And what could she do with that extra time?
She would most likely hit the beach with her homies and spend even more time to build her business.
I know what you are thinking: “Tor, what about The Crazy *ss Whopping Designer Extraordinaire’s other business tasks?”
Great question!
{Btw, it’s super cool that you are already using her new name!} A flying high five for that! *SLAP*
You should…
3. FIND YOUR SIDEKICK
Once you’ve identified your superpower it’s time for you to find your sidekick.
Actually you will probably need several sidekicks.
All the tasks that your superpower(s) can’t fix, should be outsourced to your sidekicks.
I don’t mean that you necessarily need to hire people. Ideally, you should find trusted people you can hire to get specific tasks done when they come up.
Here are a few online spots where you can find your sidekicks:
➽ Fiverr.com
➽ UpWork.com
➽ Elance.com
Let me give you a good example that will illustrate the power of outsourcing.
Let’s say design is not one of your superpowers, and you need a cover for your new ebook.
You could spend 2-6+ hours trying to design a cover that will inevitability end up so fugly it’ll make small children cry when they see it.
OR, you could hire someone on Fiverr.com to do it for $5, with a good result (good, not great), and avoid sacrificing 2-6+ hours of YOUR OWN precious time.
Unless you like valuing your own hourly wage at a starting place of $2.50.
Doesn’t that sound insane?
Then stop it. Now!
Instead, it’s time to…
4. FIND YOUR YODA
Do you want to save time in your business and achieve success faster?
Duh, of course you do!
Then you need to find your Yoda, the master that you can learn from.
You need to find someone who has the success and results that you want, and then you need to MODEL them.
When I say model, I don’t mean to parrot what they’re doing in public. What I’m saying is, if you really want to achieve the same success as them, you need to model their behavior, read and study the things they do/habits they have, and adopt their philosophies and habits.
Note: Just to make one thing perfectly clear… I am NOT telling you to stalk your role models! Start researching them on Google to start. Listen to their interviews, read their books and their blog posts.
The fastest way to get from point A to point B is to model {and hire if you can} someone who has already made that journey.
That will SAVE you a lot of TIME and frustrations.

5. STOP BEING A PERFECTIONIST
As a solopreneur you might be suffering from the perfectionism curse.
If so, I know how you feel. Been there, done that!
Some people talk about being a perfectionist like it’s something positive. They couldn’t be more off base!
As a newly recovered perfectionism addict, I can say from experience that there’s NOTHING good about being a perfectionist.
Thinking that it’s good a good thing is as illogical as thinking its a good thing to be an alcohol addict.
S.T.U.P.I.D. Right?!
Sorry about that, I just needed to drive that point home.
Being a perfectionist is very painful way of life.
No matter what you do, you won’t be satisfied. Regardless of how good your work is compared to others and how many compliments you get from your peers. It won’t be enough because you think that there’s always some kind of room for improvement.
You want to know a secret?
There is ALWAYS room for improvement. However, that doesn’t mean that you NEED to do them.
You might be thinking, “Tor, some of the biggest painters in he history were perfectionists.”
Yeah, some of them were. And how did that work out for them?
Van Gogh cut off his ear, while many other painters were working their ass off living in poverty, because their work would only become popular AFTER their death.
Not a great approach, wouldn’t you say?
Instead, focus on getting things done, not perfect.
How so?
If you are going to create your first ebook, it probably won’t be the most awesome thing right out of the gate.
But you know what?
You can always change the title and improve the content of the ebook later.
You just need to deliver something that is GOOD ENOUGH.
Take it from someone who procrastinated through the entire process when he created his first ebook “Insane Productivity Hacks”. I was stuck in a place of wanting it to be the best thing that I had EVER written.
Sad but true.
However, the ebook did exactly what it should: teach people the EXACT system on how to DOUBLE their productivity within 7 days.
Long story short, I’ve since accepted that I don’t have to strive for perfection in everything that I do…
…it’s actually more important to deliver something that gets the job done.
What do you mean by ‘gets the job done’?
Let me give you an example: Let’s say that our beloved The Crazy *ss Whopping Designer Extraordinaire wanted me to send her an overview of my best converting landing pages.
Since we’re very good friends and we’re part of the same mastermind group, that wouldn’t be an unreasonable request.
So, when I send her the overview of my best landing pages, I wouldn’t walk her through my step-by-step process behind creating every single landing page.
Why?
Because that’s overkill {read: too much information}.
Instead, I would focus on giving her exactly what she asked for and then a little bit more.
The “little bit more” could be links to my exact landing pages.
Why?
Because that’s not overkill, it provides a great amount of extra value, and it only took me an extra few minutes.
See how the approach changed but the value remained?
Awesome!
If you really want to save time, you should definitely…
6. USE A MASTER TO DO LIST
A great way to become a victim for procrastination is to NOT PLAN.
Benjamin Franklin said:
“If you fail to plan, you are planning to fail!”
And boy did he nail that one. When you don’t plan, you’ll find all you end up doing is reacting to other peoples’ agenda.
You know, like those days you end up spending all your time in your inbox replying to emails. Those days are not cool, not cool at all!
Instead, plan your week one week in advance. If that’s too hardcore for you, at least commit to planning each day the night before.
Then rely on your master to do list to guide you each day and through out your week to make sure you stay on track with your productivity.
Then you need prioritize your tasks using the ABCDE method:
➽ A tasks: tasks you must do – serious consequences if they don’t get done
➽ B tasks: tasks you should do – mild consequences if they don’t get done
➽ C tasks: tasks you could do – no consequences if they don’t get done
➽ D tasks: tasks you delegate
➽ E tasks: tasks you NEVER do
Here is the real master to do list tip for success: never do a B task before you’ve done all the A tasks, and never do a C task before you’ve done all the B tasks.
Another good idea is to use Google Calendar as your to do list.
When it comes to the tasks on your to do list, I’m about to say something pretty crazy, but bare with me.
Are you ready?
7. DON’T BOTHER WITH 80% OF THE TASKS
The Pareto principle, A.K.A. 80/20 rule says that 20% of your most important tasks will generate 80% of your total production value.
In other words: if you have a to do list with 10 tasks for the day and you only manage to complete the 2 most important tasks, you will still have produced 80% of the results.
That’s awesome, right?
This means that if you’re only able to do your most income generating tasks every single day {A tasks}, you’ll still be on track to skyrocket your productivity and grow your business.
In other words: you don’t need to bother with the remaining 80% of the least important tasks for that day {C-E tasks}.
The truth is, most tasks have what I call a ‘moving deadline’; if it’s Monday and you have a task you have to complete by Wednesday, your task will be a C task on Monday, a B task on Tuesday and an A task on Wednesday.
Now onto a tip that will really take your business to the next level…
8. THE 2 GOLDEN HOURS
Research shows that the majority of people are the most productive the two first hours after they get out of bed. This may of course vary for each of us; some people are the most productive during the evening, while other are pure night owls.
You need to identify WHEN you’re the most productive, and reserve that time in your calendar to work on your most important tasks {A tasks}.
Since I’m the most productive during the first 2 hours of my day, I always spend the 3-3.5 hours in the morning working on my most income generating tasks for my business.
When you spend the time that you’re the most productive on your most important tasks, you’ll send your productivity and business success through the roof.
Last but not least, let’s tackle the last tip that will INSTANTLY give you more time…
9. SAY NO
We only have 24 hours in our day, right?
This means that you need to protect those 24 hours like your life was depending on them.
And it actually is! So is your business.
Because every time you say yes to do one activity, you are actually automatically saying no to other activities…
…which could be spending time with your family/friends or taking your business to the next level.
Hear me loud and clear on this one!…
You should from this day forward start saying no to unreasonable requests.
Look, I know you’re probably afraid to hurt other peoples’ feelings and I know it can get uncomfortable sometimes.
But, you know what?
Once you start saying no, assume you can give people a good reason for turning down their request, they will not only understand and accept you saying no…
they’ll also respect you and your time more for it!
You might be thinking: “Tor, I get it. Saving time and becoming productive is incredibly important. But can becoming productive REALLY help me grow my business?”
Uh well, why don’t you judge for yourself…
In about 10 months the following has happened:
➽ I won the “Most Epic” blog post category on Jon Morrow’s blog – Boost Blog Traffic
➽ I was included on the list of the top 100 personal development blogs – I got interviewed 10 times
➽ My articles have been published on 24 blogs, including Tiny Buddha, Lifehack, Pick The Brain, Addicted 2 Success and Jeff Bullas
➽ Mentioned as an expert on 40 blogs, including Inc., SEM Rush, Ahrefs, Post Planner and Monster
➽ I wrote a blog post that got 20 000+ page views in 6 days, 1500+ social shares and 76 comments
➽ I challenged myself to get 1000 subscribers in 60 days. I only worked for 40 days and got 779 subscribers organically

Good to see Tor on your blog. He’s my favorite time management expert. Which is why I’m a bit nervous leaving comment so late right now. LOL Hopefully Tor doesn’t beat me up too much.
Tor, lots of helpful advice here. #6 is a must. The day is much more productive with a list.
This past year I was able to find a few sidekicks. Majorly helpful.
#9 doesn’t apply to me at all, though. I find the first couple of hours to be my least productive. I get stronger as the day goes on. Then I need to take a break after 5, but I’m a night owl and oftentimes get really creative after 7 pm. I guess I’m in that small minority.
Which leads to #1…solopreneurs can fall into that trap. Most of us work from our home and so we can struggle with turning off our work mode. I still do that at times. You want to present, in the moment, like when you’re with your kids, not thinking about your work. That’s hard when you enjoy the work and you have goals. ?
So this has been a good topic to think about as I prepare to shut down and go to bed. Tomorrow is a new day, filled with some cool things to do. This post is going to help kick things into gear tomorrow. Thanks.

You’re NOT alone in that night owl status! I get my best work done in the evenings too. I am pretty useless the first 2-3 hours I’m awake, which is why that’s when I workout, read emails, and catch up on social.
I *think* Tor can forgive ya for your tardiness, as long as it was in the name of productivity! : P
I have SUCH a hard time with turning my brain off a lot of times. I’m pretty black and white. Either I am on or off, it’s hard for me to stay in the middle. Disconnecting is a MUST for me though, if I don’t I get super overwhelmed and burnt out…which makes Dre a real crankypants.

Speaking for myself, I know that I am constantly re-evaluating my own priorities. The client-serving, income-generating tasks need to come first… always!
Everything else comes second after that.
Outsourcing is important, as you say, when the time comes to scale your business. But I think a lot of new freelancers and solopreneurs outsource too quickly when they don’t have a handle on their own business just yet.
(Oh, and Elance became Upwork, FYI… can’t hire through Elance anymore, which is too bad because I found a lot of great clients on there)
Learning to say no is also a very valid point. I find myself more and more saying no to good so I can say yes to great later.

Great blog post! Time management is absolutely critical. If we don’t know how to manage our time, we’d probably go crazy trying to do multiple things at once. There should be a set time and specific tasks that we should accomplish first before moving forward.

This hits home with me because I have too many things I’m decent at as well as pretty darn good at, and it takes so much time to entertain all those requests I eagerly agree to. Leaving me unsatisfied with myself for having too many projects incomplete.
I think a LOT of us can relate to this, I know I can! I have to say, focusing my own manic mind has certainly helped lessen the overwhelm. Now if I could just get myself to stay in this simplified state. ; )

That’s what I’m trying to do: stop being superhero and being such a perfectionist. That’s why, after making a third revision of my website within the past six months, I just stop. As design is not my “superpower”. Next revision in design will be done by a professional designer that I’ll finally need to hire. Woot ?

Ah you are so right Tor! Great article and so fun to read! Procrastination is a big thing for me at the moment and yes, I know, it is because I am wearing way too many hats. So its time to focus on my superpower ? But that ABCDE Task List and the Pareto principle makes so much sense! Actually, when I really look at it, that is how my day naturally works out – Unfortunately I get annoyed having to carry those little tasks over to the next day .. cause the next day has been planned as well!! Though I suppose it comes with the territory – working a full time job and working on your own business after hours – ahhh, the life of an entrepreneur!!

For me, it’s about being more consistent with #8 (golden hours) and #9 saying “no” more. Stay on target with what’s important and what works to serve the right things to the right people.
I’m right there with ya on these, Denise! I have to remember that ‘no’ will actually help me get more of the things I REALLY want from my biz. Sometimes I lose sight of that. Must. Stop. Doing. THAT!

What an awesome article – I hope it spreads like wildfire because the information is GOLD! I have to minorly disagree with you about perfectionists. It is a personality trait – so to say that it is terrible would be to say that a part of someone is terrible – which is not true – HOWEVER, you can use your powers for good! Perfectionists are motivated, driven, most often rule followers, so they are the best people to sell “How-to’s” and “5 steps to…” articles to. They are also the people that push until the work gets done – AND who need THIS article!!! (You might have guessed that I am a recovering perfectionist.) For my time management, I go to the gym every week-day morning, then hit my favorite coffee shop, set up, and look at my laminated list of 6 priorities for every day. Then I work on the 3 things that I have to get done after the MUST dos. I will definitely be integrating some of your ideas. Thank you thank you thank you! I totally feel ya on the perfectionist thang. I don’t know that it’s across the board an awful thing, but it certainly does get in the way a LOT. I consider myself more of a functional {and at times LAZY} perfectionist. It’s definitely helped me stay on top of my game, as my peeps know I physically can’t produce crap because it will give me too much anxiety. But at the same time I waste too much hours of my life trying to reach perfection – it’s definitely maddening.
I LOVE that you laminate your day’s goals. You’re not fucking around, huh?…GO GIRL! I’ve gotten back to daily morning workouts to and it REALLY does get my day started off so much healthier. I feel better and more unstoppable which helps me get more done in my days. Look at us ladybosses, all kicking ass and shit! ; ) ROCK ON, my badass sistah…

good to see that the perfectionist thing generated some spark here ?
Normally you have to make a firm stand to get a point through, and so I did.
Perfectionist doesn´t HAVE to be all bad. That being said, it´s VERY hard being a perfectionist and try to balance it. Yeah, and as you know, I´ve been there too.
See it like this:
– Perfectionist maniac (yeah, it was BAD, and I was there).
– Highly functional perfectionist (the sweet spot, this is where you want to be).
– Poorly functional perfectionist (also BAD, when you try to suppress too much, so it will make your quality go from high to CRAP).
In my experience, in order for you to go from “perfectionist maniac” to “highly functional”, you need to focus on slowing down. Once you hit the “sweet spot”, you need to lay off and just go with the flow.
Whatever you do, you DON´T want to hit rock bottom – becoming a “poorly functional”.
Does that make sense? ?

7 & 8 were really key for me to see in writing! I tend to beat myself up for not being as productive as I think I should have been in a given day. I really needed that reinforcement that it’s okay to focus on the more important (income generating) tasks and if other things don’t get done that day, well they move to the next. I’m all about the moving deadline ? Now I just need to determine when my true ‘golden hours’ are… You’ve got me thinking, Tor. Thanks!
I don’t know about you, but sometimes it’s easier for me to focus on the small insignificant things than the big stuff that’s got me fearful. It’s a daily task to keep myself on point, so trust me, I feel your pain. All the shit that makes us money is what really matters, because it allows us to keep basking in our solopreneur status so let’s help each other stay on track, yo!
